Opening the Finances Screen
Navigate to/live/finances in your Fit4Life OS dashboard. The screen is divided into four main sections: P&L, Daily Sales, Payroll, and Goals.
Pending orders, those with a
pending_payment status where payment has not yet been received, are excluded from all revenue, P&L, and goal calculations by design. Only committed, paid orders count toward your figures.Profit & Loss (P&L)
The P&L view breaks down revenue and net profit on a per-product basis. Because Fit4Life OS knows exactly which products were sold and at what price, your gross revenue is always accurate. To unlock true profit margin, you need to supply your wholesale costs.1
Open the P&L tab
Select the P&L tab at the top of the Finances screen. You will see every product that has generated at least one paid order, listed with its total revenue for the selected period.

Enter your cost of goods sold (COGS)
Click the editable Cost field next to any product and type in your wholesale cost per unit. The system immediately recalculates net profit for that product across all paid orders.

Review net profit per product
Once costs are entered, the Net Profit column shows you revenue minus COGS. Use this view to spot which products drive the most margin and which are under-performing.
The P&L table starts empty until paid orders exist in the system. Cost fields are blank by default, and net profit / margin stay blank for any period where a sold product has no cost entered, figures are never fabricated to fill the gap.
Daily Sales Ledger
The Daily Sales ledger gives you an order-by-order account of every transaction processed through Fit4Life OS. Each row shows the order date, the customer, the product purchased, the sales channel, and the payment source. Sales channels tracked:Direct
Orders placed directly by clinic staff on behalf of a patient.
Referral
Orders attributed to a referring customer in your referral network.
SMS Bot
Orders initiated through the automated SMS bot conversation flow.
Payroll
The Payroll section tracks compensation owed within your clinic. Each entry represents an amount owed to a specific payroll recipient based on the records you have entered.1
View outstanding payroll
Open the Payroll tab to see the current “owed to me” balance for each entry. Amounts are derived from the payroll records you have created, not automatically calculated from orders.

Add or update entries
Use the Add Entry button to record a new payroll item. Specify the recipient, the amount, and the relevant period. Existing entries can be edited at any time.
Payroll entries are independent of order revenue. They are manual records you maintain to track what the clinic owes, they do not automatically deduct from your P&L figures.
Revenue Goals
The Goals section lets you set revenue targets and track progress against them in real time. As paid orders accumulate, Fit4Life OS automatically updates your goal progress without any manual input.1
Set a revenue target
Click Add Goal, give the goal a name (for example, “Q3 Monthly Target”), and enter the target dollar amount. Choose whether the goal applies to a specific time window or is open-ended.

Monitor progress
The goal card shows your current revenue toward the target, the remaining amount, and a progress indicator. Progress updates whenever a new paid order is recorded.

Edit or remove goals
Click any goal card to edit the target amount or delete the goal entirely. Removing a goal does not affect your order data or P&L.
Like the P&L table, the Goals section starts empty. You must create at least one goal to see progress tracking. Goals only count revenue from paid, non-pending orders.
